Privacy Policy
Effective date: January 1, 2026 · Last updated: January 1, 2026
This Privacy Policy explains how BetterWell LLC ("BetterWell," "we," "us," or "our") collects, uses, discloses, and protects information we obtain through betterwellfl.com (the "Site"), our scheduling and intake tools, and our telehealth services (collectively, the "Services"). This policy covers general website and business data. Protected health information ("PHI") created or received as part of your clinical care is governed separately by our HIPAA Notice of Privacy Practices, which controls in the event of any conflict regarding PHI.
1. Information We Collect
We collect information you provide directly, information collected automatically as you use the Site, and information received from third parties who support our Services.
- Contact information: name, email address, phone number, and mailing address.
- Intake & scheduling information: information submitted through our contact and consultation request forms, and appointment scheduling details.
- Billing information: payment card details are collected and processed directly by our third-party payment processor; BetterWell does not store full payment card numbers.
- Device & usage data: IP address, browser type, device identifiers, pages visited, and referring URLs, collected automatically through standard web server logs and functional cookies.
Protected health information — such as clinical intake answers, lab results, diagnoses, and treatment records — is collected and stored within our secure electronic health record (EHR) system, not on this marketing website, and is handled under our HIPAA Notice of Privacy Practices.
2. How We Use Information
- To operate, maintain, and improve the Site and Services.
- To schedule consultations, respond to inquiries, and provide customer and care-coordination support.
- To process payments and prevent fraud.
- To send appointment reminders, service updates, and (where you have opted in) marketing communications you may unsubscribe from at any time.
- To comply with legal, regulatory, and accreditation obligations.
3. No Advertising Trackers on Clinical Pages
BetterWell does not place marketing or advertising tracking pixels — including the Meta (Facebook) Pixel or Google Ads conversion tags — on any scheduling or intake page. The Site uses Vercel Web Analytics, a privacy-focused service that counts page views and anonymous interactions in aggregate. It sets no cookies and does not identify or track individual visitors across sites.
4. How We Share Information
We do not sell your personal information. We may share information with:
- Licensed clinicians, compounding and retail pharmacies, and laboratory partners directly involved in your care.
- Service providers who host our Site, scheduling system, and payment processing under confidentiality and data-protection obligations.
- Regulators, courts, or law enforcement when required by law or to protect the rights, safety, or property of BetterWell or others.
- A successor entity in connection with a merger, acquisition, or sale of assets.
5. Cookies & Similar Technologies
The Site itself sets no advertising or analytics cookies. Our scheduling provider (Acuity Scheduling) may set functional cookies necessary to complete a booking when you open the scheduler. You can control cookies through your browser settings; disabling them may affect scheduling.
6. Your Privacy Choices & Opt-Outs
- Marketing emails: use the unsubscribe link in any marketing email, or contact us directly.
- Access & correction: you may request a copy of the personal information we hold about you or ask us to correct it.
- Deletion: you may request deletion of non-clinical personal information, subject to our legal and record-keeping obligations — including requirements that clinical records be retained for a minimum period under applicable medical record laws.
- State privacy rights: residents of certain states may have additional rights under applicable state privacy law; we honor valid requests consistent with those laws.
7. Data Security
We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children's Privacy
Our Services are intended for adults. We do not knowingly collect personal information from individuals under 18.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
